Privacy Policy

This policy explains how Proposal Oak handles information when you visit proposaloak.com, submit service information, purchase a service, or contact us.

Information we collect

We may collect the information you provide, including your name, work email, company name, website, service area, opportunity links, deadlines, questions, solicitation files, and payment-related customer details. Payment card information is processed by our payment provider and is not stored by Proposal Oak.

How we use information

Service providers and disclosure

We may share information with service providers that help operate our forms, email, website hosting, file handling, AI-assisted preparation, analytics, and payments. They receive information only as needed to perform those services. We may also disclose information when required by law or to protect against fraud or harm. We do not sell personal information.

Aiolia workspace

Aiolia’s current free workspace stores your paper journal, watchlists, research notes, and preferences in browser storage on your device. Your journal, research notes and preferences are not sent to an Aiolia account. You may optionally sign in with ChatGPT and choose to save your followed stock list. For that feature, Aiolia stores an opaque account identifier, selected stock symbols, a revision number and save time in its hosted database. Saving and loading the list are manual; no journal entries or email addresses are stored in that list. To remove saved stocks, unfollow them and save the device list again. Signing in or saving a list does not subscribe you to messages or enable trading. Backups you download remain under your control; clearing browser data may remove local records. Setup drafts are kept in this browser tab’s session storage, including across reloads; save a paper plan in your journal to retain it after closing the tab. The app may save public application files on your device so the journal can open offline.

The Research desk lets you explicitly save user-authored investment cases to your signed-in account. Aiolia stores the ticker, original thesis, supporting evidence, source links, counterargument, invalidation condition, review date, later reviews, timestamps and an opaque account identifier. Your pasted source links are stored and are not automatically fetched. Choosing Find evidence sends only the ticker to Aiolia; our server retrieves public company disclosures from the SEC. No thesis, account identity or research text is sent to the SEC. Public disclosure summaries are cached across visitors, with retrieval dates shown. Opening a source link connects your browser directly to the SEC. Research drafts are kept in this tab’s session storage before saving. Account cases remain until you delete them using My research; deleting a case removes its original, reviews and saved AI assessments from active storage. Provider backups and operational logs may remain for their normal retention period. Review dates do not enable reminders. Copying a research prompt does not send it to an AI provider; if you paste it into another service, that service’s policies apply.

When AI challenges are enabled, each request requires your choice to send the saved case, its reviews and retrieved SEC financial facts to OpenAI. We do not send your account identifier or email in that model request. The assessment, model label, generation time and SEC source snapshot are saved with your case. The API request sets store to false; this does not mean zero provider retention, and OpenAI’s API data policies still apply. Usage counters retain an opaque account identifier and request counts to enforce limits. When subscriptions become available, access records will hold an opaque account identifier, active status, paid-through time and verification time. Free users cannot request paid AI analysis. AI results can be wrong and do not trigger monitoring, messages or trades.

The Research desk does not load a market widget. Charts load when you open the Charts page and choose to load a chart. These tools connect your browser to TradingView, which receives standard connection information and applies its own privacy policy. Journal entries are not provided to the chart widget. Hosting providers may process standard request logs needed to serve the website.

Retention and security

We keep information only as long as reasonably needed for the purposes above, business records, dispute prevention, and legal compliance. We use reasonable safeguards, but no online system can guarantee absolute security. Please do not send passwords, payment-card details, Social Security numbers, private keys, or other unnecessary sensitive information through email or service intake.

Your choices

You may request access, correction, or deletion of information you provided, subject to legal and recordkeeping requirements. You may also ask us to stop non-transactional communications.

External links and updates

The website may link to public procurement portals and third-party services with their own privacy practices. We may update this policy and will post the revised effective date here.
